the core

From hour to invoice
in one system

Track hours, monitor budgets and invoice without retyping between separate files. That is the core of TimeWriter, in both editions.
Track

Track

Every employee logs hours on the right project, via the week grid, the webclient or the mobile app. Appointments from your calendar are easily taken over as bookings.
Monitor

Monitor

For each project you see how the logged hours compare to the budget. During the project, not only at the final settlement.
Invoice

Invoice

Convert logged hours directly into invoices, based on actual costs, fixed prices, unit prices, subscriptions or instalments.
Entering hours

Four ways to
enter hours

Not everyone logs hours in the same way. That is why TimeWriter has four entry screens, all working on the same data:

  • Week grid your week as a calendar, with the blocks at the time you created them.
  • Week list the same week as a list, for those who prefer typing to dragging.
  • Fixed hours list your own projects listed one below the other, with a box for each day. Ideal for work that recurs every week.
  • Tasks: work that has been prepared, in task groups, to be ticked off as soon as it is done.

There is also the stopwatch for those who clock live, and the calendar integration takes over appointments from Outlook, Google Calendar or Apple as hour bookings.

per booking

Everything with the booking,
not in a separate file

An hour booking is more than a number of hours. On the same line you record which client, which project and which activity the time was logged to, how many kilometres go with it and which expenses you want to pass on.

If a field is missing, you create it yourself: user fields such as cost centre, PO number or work order number simply appear in the entry screen and are carried through to your reports and to the invoice line.

rates

Rates that follow
your agreements

The rate does not come from a field on an activity but from a list of rate agreements.

You link each agreement to a client, a project, an activity or an employee, with a date from which it applies. TimeWriter runs through the list from top to bottom and takes the first agreement that matches, so you put the special case above the general one.

reporting

From tracking
to insight

Standard reports are ready per employee, client, product, activity, week, month, quarter, task, leave and workplace, including profitability and balance against the reference hours.
There is also a report per client with every booking with date, time, duration and rate, and a subtotal per client in hours and in euros.

Want it differently? Then you build a report yourself: choose columns, add your user fields, fix filters or have them asked as a question when running. When running, you choose the period and the output: view, print, by e-mail, or as pdf, xls or xlsx.

Your hours automatically in your
accounting package

TimeWriter integrates with the well-known Dutch accounting packages and sends invoices via Peppol. The integrations are included in Standard and Pro, at no extra cost.
frequently asked questions

Good to know

Is your question not listed? Our support department can be reached on working days from 08:00 to 17:00 on 088-00 11 800
What is the difference between Standard and Pro?
Standard is intended for 5 to 25 employees, Pro for more. Pro adds approval, working with groups, an unlimited number of roles and user fields, five dimensions per booking and the option to run the database on your own server. All the differences are listed in the comparison.
How many users do I need a licence for?
For the number of employees who have actually used TimeWriter in the last thirty-one days: logged in or booked hours. An employee you enter but who does nothing does not count. So you can add someone without first removing someone else.
Can TimeWriter compare contract hours with hours worked?
Yes. For each employee you record the reference hours per week, and the program shows the shortfall or surplus in the week grid and in a balance report. Please note: the norm is calculated per whole week. Per week, quarter and year that is exact; per month it is never entirely so, because weeks run across the month boundary. If you work with monthly contracts and want to account for everything per month, please call us first.
Can I close a period so that nothing changes any more?
Yes, with period locking. You enter a date and everything before that date is fixed. This can also move along, for example always up to seven days back, and you can exempt employees.
Can I try TimeWriter first?
Yes, two months for free. No credit card is needed and the trial period stops automatically.
Does TimeWriter work with my accounting package?
The integrations with Exact, SnelStart, Moneybird, e-Boekhouden, Yuki, Visma, Asperion, Minox, PerfectView, KING/IMUIS and Stip-T are included in Standard and Pro, at no extra cost. Sending invoices via Peppol is also possible.
