Automatic time tracking software is sold on a promise that splits in two. One half is real: the repetitive parts of recording hours can genuinely be taken off people. The other half is a claim that the software will work out what you were doing, and that half is where most of the disappointment lives.
The repetition worth removing
Very little of the effort in keeping hours is the thinking. It is retyping the same six lines every Monday, reapplying a rate somebody changed in March, and rebuilding the same report with different dates.
Worth separating the two, because they fail differently. Automation of a known rule is dull and reliable. Automation of a judgement is impressive in a demo and wrong often enough that somebody has to check all of it, which is the expensive outcome.
Those are the parts that automate cleanly, because the rule is known in advance. Recurring tasks are logged from a template rather than retyped, blocks can be dragged and copied across a week, and a report period like "previous week" fills in its own dates.
A stopwatch beats a reconstruction
For work where the exact duration matters, a stopwatch removes the estimate entirely. Start it when the activity begins, stop it when it ends, and the entry carries the real figure rather than a rounded guess made two days later.
It also settles the argument about rounding before it starts, because the recorded figure came from a clock rather than from someone deciding what seems fair.
It is a small mechanism with a disproportionate effect, because the alternative is not a slightly less accurate number. The alternative is a number shaped by what somebody thinks they probably did.
recurring tasks logged from a template instead of retyped

rates applied from the person, the task or the client automatically
report periods that fill in their own dates
What follows on without anyone asking
The larger gain is downstream. Once hours are booked, budget monitoring updates itself: as people log time the consumed portion of a project budget moves, and an overrun announces itself instead of being discovered at the end.
The same entries produce the invoice. Where clients are billed differently – a flat sum, a rate per unit delivered, a monthly subscription – invoice scenarios hold each arrangement so the right document comes out of the same set of approved hours.
What it does not do, on purpose
It does not watch a screen. There is no capture of applications, keystrokes or idle time, and no attempt to infer from a browser tab which project an hour belonged to.
That inference is the weak point of activity-based products. A window title says what was open, not what it was for, and the guess has to be corrected by hand often enough that the correcting costs more than the booking would have. Automatic time tracking software is more useful when it automates what it knows than when it speculates about what it does not.
Where the remaining effort goes
Against that, the automation described above never guesses. A template produces what it was told to produce, a rate is the rate that was set, a budget figure is arithmetic on entries that already exist. Nothing needs reviewing because nothing was inferred.
With the repetition gone, what is left is the one judgement only the person can make: which project this hour belonged to, and whether it is billable. That takes seconds when the structure is right and the last-used entries are close to hand.
Which is the honest description of the category. The recording stays human and the administration around it does not, and that division holds up better over a year than any promise to work it out for you. The instruction videos show what daily use actually looks like.
