Timesheets in Excel always start well. There is a template, everybody understands it, and it costs nothing. The trouble begins when the number of people filling it in grows and the files start to multiply: versions, variants, and someone at the end of the month merging it all by hand.
Where it actually breaks
The problem is not the entering. Filling in a week in a spreadsheet is pleasant enough. The problem is the merging, and the fact that nobody sees anything in between. An overrun surfaces once the month is closed, and an arithmetic error in a hidden column can survive for years.
A spreadsheet also has no memory of what changed. Someone adjusting a figure a week later does so invisibly, even if the invoice has already gone out.
Then there is free text. As long as people type their own project names, variants appear: with and without a year, abbreviated, misspelled. Totals cannot cross those variants, so someone groups them by hand afterwards — another step nobody checks.
The comparison is not really about the entry screen. It is about everything that happens after it.
all hours in one administration instead of scattered files
clients, projects and activities picked from a fixed list, so they add up
budgets that raise a signal during the project
invoices built from the hours people actually wrote
leave and absence in the same view as the hours
The entry itself stays familiar: the grid under time tracking deliberately resembles a timesheet, rows below each other and days across. Anyone arriving from Excel does not have to learn a new way of thinking.
Moving without dragging the year along
The most common mistake is trying to migrate the history. It takes weeks and rarely earns anything back. Take a cut-off date instead: from the first of the month everyone writes in the new system, and the old files stay where they are as an archive.
Set up only the clients and projects that are genuinely running. A complete list from the past makes the picker unusable and is the quickest route to hours booked against the wrong thing.
Expect two to three weeks before it runs by itself. In week one people forget, in week two they ask where something should be booked, and by week three the questions have stopped. Those questions are not noise — they point exactly at the places where your project structure is ambiguous.
What you notice first
The first difference is the monthly close: no more gathering and adding up files. The second is budget monitoring, which is practically impossible to build in a spreadsheet unless somebody maintains it daily. The third is the invoice, which comes out of invoicing built from the same hours the employee entered.
What also changes is who produces the figures. In the spreadsheet situation there is usually one person who assembles the overview and is therefore the only one who knows how it fits together. Once the totals come from the system, a project lead can pull their own numbers without needing that colleague.
A smaller change, noticed later, is that the template stops drifting. In a spreadsheet every team eventually adapts the layout, and after two years no two files are quite comparable. A shared structure removes that without anyone having to police it.
When a spreadsheet is still fine
If you write only for yourself and have no team, there is no real reason to move. For a single user there is a free edition that replaces the file without a licence being involved, and only when a second person starts filling one in does any of the above begin to apply.
