Leave management software that shares its data with your timesheets
Most organisations run leave management software and time tracking as two separate things. It works until someone asks a simple question: how many productive days did this team actually have last quarter? Answering it means reconciling two systems that were never meant to agree with each other.
Why leave belongs next to the hours
A holiday, a sick day and a working day are the same kind of record: one person, one date, and a reason there are or are not productive hours against it. Keep them in one administration and nothing has to be reconciled afterwards.
The practical benefit shows up in planning. A schedule that does not know who is away is a schedule that moves the problem to next week, and a capacity figure calculated against a theoretical norm rather than actual availability is not worth much.
There is a second benefit that is easy to miss. When leave and hours share a system, an employee sees their own balance in the same place they enter their time, which is by far the most common moment they think to check it.
What it keeps track of
The leave management covers the full cycle rather than just a calendar.
leave types you define yourself, each with its own rules
entitlements and remaining balances per employee
requests submitted by employees and approved by a manager
sickness and other absence recorded along the same line
part days as easily as whole ones
Keep the list of leave types short. Every additional type is another decision someone has to make when submitting a request, and the most common cause of wrong balances is a type nobody quite understood.
Requests without a mailbox in the middle
Leave handled by email has no state. A request sits in someone’s inbox, an approval lives in a reply, and the balance exists only in a spreadsheet that one person maintains. When that person is themselves on holiday, nothing moves.
With requests submitted in the system, the employee sees what they have left before they ask, and the manager sees what else is already approved for that week before they answer. Most of the back and forth disappears simply because both sides are looking at the same figure.
Absence recorded, not diagnosed
Sickness is recorded as dates and nothing more. This is deliberate: it is not an occupational health file, and there is no field for a reason or a diagnosis. Dates are enough for planning, for balances and for an absence figure, and data you do not store is data you do not have to secure, retain or clean up later.
Over a longer period that simple record still tells you something. Absence concentrated in one department or one season is a pattern worth looking at, and because the hours live in the same administration you can express it against genuinely available hours instead of a nominal working year.
Planning against real availability
Once leave is recorded properly, capacity stops being a guess. A team of eight is rarely a team of eight in July, and a plan built on contract hours rather than available hours will always look achievable on paper and fail in practice.
Where it sits in the product
Leave and absence are part of TimeWriter Standard and Pro, alongside time tracking, budget monitoring and invoicing. There is no separate module and no additional licence, so there is nothing to integrate to make the three line up.
In Pro, approval extends to the hours as well: a manager approves a period and it is then locked, so an approved month does not quietly change afterwards. The rest of what is included is listed under features.
