Self hosted time tracking for organisations that keep their own data
For most organisations it does not matter where their time administration physically sits. For some it does: a sector requirement, a client asking the question during an audit, or an internal rule that company data stays inside the company network. Self hosted time tracking is then not a preference but a condition.
A choice most tools no longer offer
Almost all time tracking has moved to a hosted service over the past decade. That is understandable — it is far easier to maintain — but it also means the question of where your data lives is usually answered before you get to ask it.
With TimeWriter Pro it can go either way. The application server and its database run inside your own environment, secured with a certificate in your own name. Prefer not to manage that yourself, and you use the hosted option instead. It is the same software; only the location of the server differs.
For the person entering hours, nothing changes at all. They open the same desktop client or the same browser client and cannot tell from the work which arrangement is in place.
the administration sits inside your own network and backup regime
the certificate and the domain are yours
you schedule maintenance windows rather than receiving them
the SOAP and REST API stay available on your own server too
the decision is reversible, in both directions
That last point tends to matter most. Few organisations know at purchase what their infrastructure will look like in three years, and an arrangement that cannot be undone is a risk in its own right.
What it asks of you
Self hosting means a machine that stays up, a backup that has been tested, and someone who applies an update. For an organisation with its own administrator or a regular IT partner, that is routine work.
Without that, the hosted option is almost always the better answer. A server nobody maintains is less safe than a hosted environment that is actively looked after, and the honest test is simple: is it clear who gets the call when something breaks on a Friday afternoon?
Plan one restore test when you put it into service. A backup that has never been restored is an assumption, not a provision, and that afternoon is the only moment you find out whether the setup holds.
Still connected to everything else
Running your own server does not cut you off. The integrations with accounting packages, the calendar integration and sending invoices electronically all work when the database sits inside your own network.
For your own software there is the API. Organisations use it to push hours into a data warehouse or to create projects from another system, without anyone retyping anything. Note that the API belongs to Pro as well, so an organisation wanting both a private server and custom integration arrives at the same edition from two directions.
Who this is actually for
In practice the organisations that take this route fall into three groups: those under a sector rule about data location, those whose own clients audit them, and those with an internal policy that predates the move to hosted software. If none of those describes you, the hosted option is the simpler answer and there is no penalty for taking it.
Decide after you have seen it
The hosting question does not have to be settled first. Evaluate for two months without obligation in the hosted environment, and decide where the administration finally lives at the point of purchase. That order tends to work better anyway: establish whether the product fits, then answer the infrastructure question.
