Time tracking software small business owners will actually maintain

In a small business the person who would set up a time tracking system is the person already doing the invoicing, the quoting and the work itself. Time tracking software small business owners keep using is not the one with the most features. It is the one that takes under an hour to set up and under a minute a day to maintain.

No administrator to lean on

Larger organisations can absorb a system that needs tending, because somebody is paid to tend it. A firm of six cannot. Anything requiring weekly attention from an owner will be abandoned in the first busy month, and the abandoned version is worse than none: it looks like a record and is not.

That is a different question from the one most comparisons answer. Feature lists are written for organisations with someone to operate them; a small business is choosing something it has to run in the margins of everything else.

So the test is maintenance rather than capability. How long does a week take to book, how much has to be configured before the first hour can go in, and what happens when nobody looks at it for a fortnight.

Start with the question you have now

Most small firms start because of one specific problem: a client whose work never seems to pay, or a quote that keeps coming out wrong. That problem determines the structure, and everything beyond it can wait.

The temptation is to design for the organisation you expect to become. It is a false economy: time tracking software small business owners set up for a hypothetical future is configured by someone with no time, for circumstances that have not arrived, and it is the configuration that kills it.

Customer, kind of work, billable or not. That is usually enough to answer the question that prompted the exercise, and it is shallow enough that entry stays a matter of seconds.

  • hours per customer and per kind of work
  • billable separated from overhead from day one
  • rates per customer or per type of work
  • web, mobile and desktop on one set of hours
  • room to add structure later without redoing the past

Free where free is enough

A one-person business does not need a licence to find out whether any of this helps. The freeware version covers single-user use, which is the honest starting point for a sole trader or a practice of one.

When a second and third person arrive, the standard version adds what a small team needs – approval, shared structures, reporting across people – without moving to a different product or leaving the earlier hours behind.

Where it starts paying

The return in a small business is rarely a dramatic insight. It is an invoice that includes the Thursday afternoon somebody would otherwise have forgotten, and a quote next quarter based on what the last one actually took.

There is a second return that takes longer to appear. After a year of records, quoting stops being a matter of instinct, because the last six jobs of that kind are on file with what they actually took.

Over a year those are worth considerably more than the licence. An unrecorded hour is simply absent: not charged, and not visible anywhere as a gap.

What it costs to find out

The product matrix sets out which version carries what, and the rates are published rather than quoted, which for a small business is usually the first thing worth knowing.

Two months of free use covers a full cycle: booking, a month end, an invoice. That is long enough to tell whether it has become habit, which is the only question that matters at this size.
