Timekeeping software for when the record has to hold up

Timekeeping software is bought for convenience and kept for evidence. The moment a grant body, an auditor or a client with a disputed invoice asks how a figure was arrived at, the question is no longer whether entry was pleasant. It is whether the record can be explained.

What accurate means in practice

Accuracy is not a matter of decimal places. It is whether the hour recorded on a Tuesday can still be traced on the following March to a person, a task and a moment of approval, without anyone reconstructing it from memory.

Most systems are accurate on the day and vague a year later, because the context around the number was never stored. The hour survives; the reason for it does not.

That means the sheet has to carry more than a number. It carries who booked it, against what, when it was entered, whether it was changed afterwards and who signed it off. Timekeeping software that stores only the total is storing an assertion.

Rounding, rules and the arguments they prevent

Most disputes over hours are not about honesty. They are about two parties applying different conventions to the same afternoon: one rounds to the quarter, the other bills in tenths, a third counts travel and a fourth does not.

Timekeeping software settles this by being the place where the convention lives. Setting those conventions once removes an entire category of argument. The rule is applied the same way for everyone, it is visible, and it is the same rule in the report as on the invoice.

  • booking units and rounding defined once, applied everywhere
  • billable and chargeable status decided when the hour is booked
  • tariffs set by person, by type of work or by client
  • changes recorded instead of overwritten
  • approval by a named manager before a period closes

A trail you can hand over

An accountancy practice answering for a client file and an engineering firm accounting for subsidised development have the same underlying need: a chain from the final figure back to the individual entries that produced it.

Timekeeping software that summarises as it goes cannot offer that, because the detail it would need has already been discarded. Because reporting here works on the stored entries rather than on a rolled-up copy, the chain stays intact. A total can be opened up, a period can be reconstructed, and an explanation takes minutes rather than an afternoon of spreadsheets.

Timekeeping software people keep using

A record that nobody maintains is worse than no record, because it looks authoritative and is not. Rigour at the reporting end only works if entry at the other end stays light enough to do daily.

The way out is to put the strictness where it costs nothing. Rules and approval steps are enforced by the system and felt by nobody; extra fields are enforced by the system and felt by everyone, every day. So the strictness lives in the former, not in the number of boxes somebody has to fill in. Budget monitoring then uses the same entries to flag an overrun while it can still be corrected, which is the practical payoff for keeping the record properly in the first place.

Choosing what you need

Not every organisation needs the full apparatus. A small practice keeping a defensible record of client hours needs considerably less than a firm running subsidised projects across three departments, and the product matrix lists what each version covers.

Worth checking before you commit: how far back the history goes, who may change an approved entry, and what an export looks like when somebody outside the organisation has to read it. Those three answers tell you more about timekeeping software than any feature list.
